Sending Email to Individuals using PastPerfect

Scope: PastPerfect 3.0 B9 – 3.0 D6 and Microsoft Outlook 98/2000/XP
Notes: PastPerfect uses Microsoft Outlook (version 98, 2000, and XP) to send email to individuals and lists. You must have an installed licensed copy of Outlook to take advantage of this feature.

Setting up your Email within PastPerfect

  1. Start PastPerfect Software and select the “Membership” tab at the Main Menu
  2. Go to the Setup button within Membership, and select the Individual Letters & Email tab
  3. Click on the Email Setup button
  4. Using the pull down menu, select your computer’s Microsoft Outlook program
  5. Place a check mark next to the options you wish to activate. If you wish to send multiple emails at once, please make sure you activate both the “email sending” and “multiple/bulk emails” options.
  6. Select the number of emails you would like to send in “bulk.” Please note your Microsoft Outlook may limit the number of emails.
  7. Click Add/Change Signature button to set your signature (name, organization, etc.)
  8. Click Ok, then Exit the Email Setup
  9. Exit Membership Setup

To compose and send a single email to an individual:

  1. Click on the Individuals Button and find the Individual you wish to email
  2. Make sure the Individual’s email address field is completed
  3. Press the Email button next to the Pledges/Receipts button 13) Write your email and click Send

To send a bulk email to a list of individuals

  1. Click on the Lists & Labels button
  2. Select your User Defined List or Individual Fixed List
  3. Select the Print, View or Email Lists, Labels, Letters or Envelopes button
  4. Select the Print or Email Letters button
  5. Select the letter (written in the Individual Letter tab in Membership Setup) from Letters on File
  6. Review your letter (email), scroll through emails and modify as needed
  7. Select the option button to send one email to one person OR send one email to everyone OR send different emails to everyone. Please note: If you select to send one email to everyone, it cannot contain specific fields in < > in the text. Sending one email to everyone will allow each recipient to access the email address of all recipients.
  8. Click Send (you may be prompted to click “yes” for each email with outlook 2002)

Microsoft Outlook may ask you if want to allow a program to automatically send an email on your behalf, click yes.
