Exporting your Email Addresses from version 2.6 to an importable format for the windows address book contained in Outlook Express 6.0

Scope: PastPerfect version 2.6A1 - 2.6B9 and Outlook Express Version 6.0
Notes: In version 3.0 b8 and above, email management can be handled from inside the PastPerfect interface. For our 2.6 users, we offer these instructions to export your email contacts to a windows based address book. This procedure needs to be modified for users with other versions of Express and Outlook, Netscape, and Eudora, but the concepts are similar!

Getting the data out of PastPerfect:

  1. Start PastPerfect Software and single click on the “Utilities” tab.
  2. Hold down the ALT key on the keyboard and tap the F12 key. (then release the alt key)
  3. Type in the password which is OPEN and tap the enter key. (buttons should now be alive)
  4. Click “Export Data”
  5. In “From” select individuals
  6. In “Field” click “Selected” then below “Fields” type: lastname,firstname,email
  7. In “Records” click “Selected” and then below “Records” type: !empty(email)
  8. Select output, Excel 5, and type the path: c:\emaillist.xls
  9. Click “EXPORT NOW” and look for a message that tells you how many records were exported. (If you get an error, check all of the typing, make changes where needed and try again. You will not be able to go on until you have exported a file with at least one record in it.

Importing into the Address Book:

  1. Open c:\emailist.xls in Microsoft Excel.
  2. Save that file as a Comma Separated Value (CSV) file <>
  3. Close Excel and open Outlook Express.
  4. Click “file”, “import”, then select “other address book.”
  5. Select “Text File (Comma Separated Values) and click “Import”
  6. Click “browse” and navigate to your c:\emailist.csv file and click “Open”
  7. Click next and set up your data map by putting check boxes in the fields and then selecting the address book field you want to populate with your data: a. last name goes in last name b. email goes in E-Mail Address
  8. Once all check marks are in and you like the map, Click finish.
  9. To check your work, open address book in outlook express and see your contacts from PastPerfect.

CAUTION!!!
After you have used your email list and you want to bring over a new batch of names from PastPerfect, you may want to delete the old address book before you import. Doing this delete will remove all of your contacts from Outlook Express. There are several ways to manage lists of email addresses using outlook and outlook express that may preclude you from deleting old address books. Check out the mail program documentation for details.
