Using Global Commands to make Expired Members Inactive

Notes: Many customers have asked for a way to make all expired members inactive if their paid thru date is not within a certain date range.

Before trying this, make a backup to hard drive and backup to floppy, zip or CD! PastPerfect is a database and after doing a global command, it is impossible to hit the “undo” button. When we make a change to the data, good or bad, it is permanent. By making a backup, if you are unhappy with the changes, you could restore your data with the help of one of our technicians.

Getting to the command window:

  1. Open PP, Click the “Utilities” tab
  2. Click Backup, and Backup data to hard drive.
  3. After backup is complete, close the backup screen.
  4. Click on the “Utilities” tab and click “Global Update.”
  5. Click on “Open Command Window.”
  6. Type in the box “use &_members” then click “Submit” (do not type quotes)
  7. Click “Clear.” then type in the box replace active with 2 for nextdue<ctod(“12/31/2002”)
  8. If you are sure you have it typed correctly and have substituted your date for 12/31/2002, then click submit and close the command window.
  9. Take a look at your membership to make sure you have done what you expected to do.
  10. Do not make another backup until you are certain that the global change you have made meets your needs and has not impacted your database negatively.
