3. PastPerfect 4.0e3 Update

The new Version 4.0 Update is available as a free download from our website. This update enables you to display and report on donations and dues payments posted in 2010 and has two new pledge reports -- Open Pledges and Overdue Pledges. Open Pledges lists all pledges with balances and enables you to sort them by the contact's last name, campaign, start date, last paid date or balance due. The Ovedue Pledges report provides a list of all open pledges where a payment has not been made by a date you specify.

5. PastPerfect-Online User spotlight - The Kiplinger Washington Collection

The Kiplinger Washington Collection is a corporate art collection of approximately 5500 objects relating to Washington, DC history and the city’s built environment. Started by journalist Willard Kiplinger as office artwork in the 1920s, the collection was enhanced by Willard’s son, Austin, and grandson, Knight, when they assumed editorial leadership at the Washington-based publishing company. The collection grew to be one of the largest private holdings of Washingtoniana. Their goal is not only to preserve the collection, but also to make it accessible to researchers and educators.

In June 2008, curator Heather Riggins started using PastPerfect-Online to help increase the collection's visibility and accessibility. Since the Kiplinger Washington Collection did not have a website, they decided to use the free PastPerfect-Online splash page as the main homepage, providing additional information about the collection. Gradually, Heather has been adding items to the site, which now has over 5300 searchable object and photo records. Submitting the site for Google indexing, an optional PastPerfect-Online feature, has also increased awareness of the collection. So far, Heather has found this project to be a success, helping reach interested audiences who might never have known about the collection. In the future, Heather hopes that they will be able to catalog and upload their corporate archives and library collection.

6. Client Spotlight - Congratulations to our 7000th customer - Montclova Historical Foundation

In 1997, the Monclova Historical Foundation was founded to save the 1912 Monclova School, which had served the community for 60 years. The Foundation, along with support from the Monclova Township Trustees and the community, renovated the crumbling, but beautiful and structurally sound, building. They then decided the structure should be used as a community center to benefit people of all ages. Today many activities are held at the Monclova Community Center including exercise classes for seniors, Girl and Boy Scout meetings, and a YMCA child care center. Banquet and meeting facilities are available for area residents’ special occasions and learning opportunities.

Director Mary Kay said that she is excited to get started with PastPerfect. The program will make their collections more accessible to the community. Collections include artifacts from the Monclova School and a one room 1914 post office as well as historic photographs. Mary said that she has already used the training CDs and evaluation version to feel comfortable with PastPerfect before starting their data entry project in January. 7. Tech Tip - Year End Reports

As 2009 comes to a close, it is useful to take stock of your organization's accomplishments over the year and set new goals for the upcoming year. PastPerfect can help by producing year end reports for Donations, Dues, Pledges, and Collections. Using Pledges/Receipts is one of the most efficient ways to produce year end reports for Donations, Dues and Pledges.

To begin, click the “Pledges/Receipts” button on the Main Menu. On the Receipts screen, click the “Entire Year” tab at the far right. Please be sure the year is set to 2009 (or the year you want using the Change Year button in the lower left corner). To review pledges, click the Print Pledge button under the Pledge section. By default, PastPerfect will enter the date range of the tab selected. When you clicked the "Entire Year" tab, the date range 01/01/2009 thru 12/31/2009 was automatically entered. Once your date range is specified, you can run the report for a single campaign or select All Campaigns. If you choose to view pledges toward All Campaigns and check the Subtotal box, the report will group pledges by campaign and give subtotals for each. The Print Receipts reports for Donations and Dues work similarly, and enable you to account for all donations/dues payments or select donations by fund or memberships by type. The Print List reports enable you to get the totals for all donations or dues payments for the time period you specified by clicking the Entire Year tab at the top. All reports may be previewed and printed, and you can create an output file to PDF, HTML or Plain Text. The Print Pledge and Print Receipts reports may also be exported to Excel.

For Collections, you may want to see how many records have been added this year. You can use the Records Added by User Report in Reports | System. Running this report shows you the number of Objects, Photos, Archives, Library, Temporary Custody, Accessions, Incoming Loans, Outgoing Loans, Exhibits and Contacts records that have been added in the date range you specify. If you have Security activated with multiple user log ins, you can see how many records have been added by each user.
