Museum Software versions 4.0 and 3.5? These free updates are released
every few weeks and are available for download by going to this page on our

PastPerfect Version 4- Current Update Available 4.0B5
The current update now available for PastPerfect version 4 is 4.0B5. New
features found in this update include:
* Restrict All command on Security Setup screen

PastPerfect Version 3.5- Current Update Available 3.5B7
The current update now available for PastPerfect version 3.0 or 3.5 is
3.5B7. New features found in this update include:
* Add updated field to deaccession table
* Add ID# to list when selecting donor for new Accession or Temporary

5. Technical Tip of the Month- Alternate Billing Addresses in PastPerfect Version 4!
In many cases, it may be necessary for a Contact to have an alternate
billing address, meaning one piece of mail, like a renewal letter, might
need to go to a different person or address than the one listed on the
Contact record. PastPerfect version 4 is able to deal with this by
providing a field for the alternate billing address on the contact record.

Let's say for example, Martha Smith purchases a membership for her father,
John Smith. Martha wants to receive the renewal letter for the membership,
however, she wants her father to receive the newsletter and any other
mailings the museum sends out. In PastPerfect you would want to create a
Contact record for John Smith, and enter him as a new member, just as you
would anyone else. After entering this information, follow these steps to
set up the alternate billing address for this record:

1) Click on the "Membership" button on the Contact record so that the
Membership information displays
2) Click on the "Enter or Change Alternate Billing Address" button
3) Click on the "Edit" button at the bottom of the new Alternate Billing
Address window that appears
4) Enter the person's name and address just as you would want it to appear
on a mailing label, in the field labeled "Primary- Alternate Address for
Membership Billing." Here is an example,

5) Click on the box at the top of the window labeled, "Check this box to
send membership bills and notices to the address below."
6) Enter the information for the alternate person's dearname, email, and
phone numbers, if you have it
7) Click on the "Save" button
8) Click on the "Exit" button to close that screen

Now you have the alternate billing address entered for this person! If you
would like to use the alternate billing address on any of your letters and
labels, you must set those letters and labels to use the Bill Add Selectable
address field. This way, if the record is set to use the alternate billing
address, it will use that address. If the record is not set to use the
alternate billing address, it will use the regular address that is on the
front of the contact record. Read the July newsletter for instructions on
how to set your letters and labels to use the Bill Add Selectable address
field or call our Support Office and we will be happy to show you.


6. Look Who's Using PastPerfect- *The Charles M. Schulz Museum*
The Charles M. Schulz Museum is located in Santa Rosa, CA and opened in 2000
with the mission to preserve, display, and interpret the art of Charles M.
Schulz. Most known for his work creating and developing the Peanuts comics,
Charles Schulz entertained audiences of all ages from 1950 through 1999 with
stories about Charlie Brown, Snoopy, and a host of other characters.

The museum serves as a resource for those interested in cartooning and the
work of Charles Schulz by providing Cartoon Workshops, as well as an
Education Room where visitors can come learn about cartooning from a
professional cartoonist-in-residence. There is also an on-site Research
Center where people can search a wide variety of archival materials, from
Charles Schulz's personal papers to original comic strips and drawings.
Visitors to the museum can also stroll through an outdoor labyrinth designed
in the shape of Snoopy's head!

The Charles M. Schulz Museum is currently using PastPerfect version 4 to
catalog their collections and also use the multimedia features to attach
images and other files to their records. They have found both the Incoming
and Outgoing Loans catalogs, as well as the Exhibits catalogs, in the
program very helpful in keeping track of their items. Currently, they are
exploring the possibilities of setting up security levels, which would
enable volunteers to help with data entry. Other goals include setting up a
workstation in the Research Center for researchers to query the database and
they also hope to one day have enough of the collection cataloged to use
Virtual Exhibit.
