2. Price Change Notice

PastPerfect Software is committed to providing affordable software products for the museum community. It has been five years since our last price change. During that time the cost of doing business has risen. As of September 1, 2007, prices for most of our products will increase slightly. However, to continue our commitment to provide affordable museum software, the price of the PastPerfect Basic program and Digital Imaging/Multimedia Upgrade will remain unchanged. The cost of Scatter/Gather will have the largest increase to reflect the evolving complexity of that feature. Please visit our website for a complete list of new prices or contact us at 800-562-6080 or sales@museumsoftware.com if you have any questions.

Mary Parr, President

8. Look Who's Using PastPerfect: South Carolina Law Enforcement Officers Hall of Fame, Columbia, SC
Special Thanks to Marsha Ardila, Administrator, for writing this month's Look Who's Using PastPerfect!

Any journalism student can tell you that a good story will answer the questions - Who? What? Where? When? Why? and How? At the South Carolina Law Enforcement Officers Hall of Fame, we tell the "story" of South Carolina law enforcement through our twelve exhibit areas, our museum collection, and our Memorial Room.

The South Carolina Law Enforcement Officers Hall of Fame (SCLEOHOF) was created by legislative act in 1974. At its creation, the purpose of the Hall of Fame was defined as being two-fold. First, and foremost, its purpose is to honor those South Carolina law enforcement officers who have died in the line of duty. This purpose is met in the rotunda Memorial Room where 282 officers (as of May 2007) are remembered for their sacrifice for the people of South Carolina. Dating from 1797 to the present, each officer is represented by a plaque and a brief description of the circumstances of their death. The Hall of Fame's second purpose is to honor officers in the day-to-day performance of their duties. This purpose is accomplished through the museum collection and exhibits.

In 1999, the SCLEOHOF began a reorganization and modernization of its collection management procedures and records system. A critical part of the reorganization was the utilization of PastPerfect Museum Software. Previously, all collection records were maintained with a traditional "paper" system. In 2006, we added the Multi-Media Upgrade, which enables us to include a digital image of the object or photo in each record.

The greatest benefit for the Hall of Fame when using the PastPerfect database is its search capabilities. Though we maintain a relatively small collection, the ability to retrieve data about individual and/or related items without relying on memory or rifling through paper files provides fast and efficient access to the collection. The Multi-Media Digital Upgrade has been a particular boon to the photographic collection (now numbering over 3000 images and still growing!). Because of the nature of our collection, many of the images are similar and therefore difficult to differentiate by written descriptions alone. The addition of a digital copy to the catalog record greatly improves our ability to locate specific images without resorting to handling the actual photographs, thus improving the overall care and longevity of these artifacts.

To learn more about the South Carolina Law Enforcement Officers Hall of Fame or to plan a visit, please see our website at http://www.scdps.org/hof.asp.

9. PastPerfect Archives Report Highlight: Container List

Within the Archives catalog, there is an option to create a Container List for those items that you wish to catalog as a sub-set of your main Archive record. If you have used the Container List option, the Container List report will allow you to search for a word or a string of words that may be found specifically within your Archives Container List. The Container List report is particularly useful when you wish to print information about items within the container list based on a specific term. You will have the option to search specific fields or all fields within the Container List. The results will automatically be sorted by the Object ID number, and you may indicate a second sort order including Container, Folder, Location, Creator, Date, or Title.

To access this report, please click on the Reports button on the Main Menu, and then select the Archives button on the left hand side. The Container List report will be a little over halfway down the list. Select the report name and then choose Run Report. Check the Container List fields you would like searched - Object ID, Container, Location, Folder, Creator, Date, Title, Subjects and Description. Next, select the preferred secondary Sort order, in addition to Object ID number. Enter the word or string of words you are looking for in the "Search for:" field.

After you have made your selections for the terms to search, fields to search, and sort order you may preview or print the report. Those who have PastPerfect version 4.0C8 and above may also export this report to PDF, Word, or HTML.

For further information or for assistance with this Report Highlight, please contact our support office toll free at 800-562-6080.
