6. Tip of the Month- Adding and Removing Names from People and Subjects Authority Files
Adding terms to your Authority Files can help save time and reduce errors when doing data entry. To add terms, click on the Setup tab and click the Authority Files button. On the list of authority files that appears, double-click on either People or Search Terms. If you want to add a new term, click the Add button, then type in the new term and hit Enter. When you go to your records, you will be able to choose that term from the authority file. If you want to remove a term, click on that term to highlight it, then click the Delete button at the top. This function removes the term from the list; however you will have to delete the term from your records.
Our newest feature in the area of Authority Files, is the ability to remove those terms that are no longer needed for the People and Search Term fields. By clicking on the Remove Unused Terms button, any of the terms that do not have records associated with them will be deleted. This feature is useful if you want to remove a term from the Authority Files that is no longer used. Simply follow the instructions above for deleting a term from a record and then go to the Setup tab and click on Authority Files. Under People and Search Terms, you will find the Remove Unused Terms button. A few things to keep in mind to use this function, you must be sure no other users are in PastPerfect. You must also be careful to delete the terms that are no longer needed from the item records first, before attempting to remove them from the Authority Files, as terms will not be deleted if they have biographical or additional information saved with them.
