6. Tech Tip: Digital imaging guidelines - part I

The ability to add images to your records is an important step toward making them researchable and enhancing the use of your collections. Knowing your options when beginning your digital imaging project is as important as knowing what you want as your final outcome.

If your institution has the Digital Imaging (V3) or the Multi-Media (V4) Upgrade for PastPerfect, you are able to attach digital images to your records. Within PastPerfect we suggest that you keep your image file size to approximately 500 KB. While PastPerfect can accommodate large file sizes, this smaller file size is recommended because it will allow your images to load faster. For this reason, we do not recommend that you attach your high quality, master files within PastPerfect.

How the image is captured and how it is stored can affect the usability of the image as well as the file size. With this in mind, it is suggested that you scan images in accordance with their original size at the following pixels per inch (ppi):

8"x10" - 150-300ppi
5"x7" - 200-400ppi
3"x2" - 300-600ppi
Slide - 600-1200ppi

However, if you wish to scan at a higher resolution, you may also attach large "archival quality" images to records within PastPerfect 4.0. There is the option to create a "discovery image". The "discovery image" will be created from your large archival image in version 4.0 and appear as the thumbnail for the record. This option is accessed through Setup and Multi-media. If this option is selected, you may choose the size at which the activation of the discovery image creation will begin. We suggest setting this at 2000 kilo-bytes, so that no discovery image is larger than 2MB. Once a discovery image has been created, the large archival image is stored in the Multimedia\Largeimages folder and can be viewed by clicking the "View MultiMedia Links" button on the catalog record.

So, whether you are creating an image with a large or small file size, below are some items to keep in mind as you create your digital images.

Ppi: Pixels per inch, dictates the amount of detail that will be shown in the electronic image. The greater the ppi, the better the image quality will be when it is enlarged. However, this also increases the image size and space that will be needed to store the information.

Dpi: Dots per inch, is often used interchangeably with ppi. However, dpi was originally used in conjunction with the process of printing.

Bit depth: The number of bits of digital information used to define one pixel. The higher the bit depth, the greater the number of grays or colors fill a pixel. 24 bit depth is suggested to be used with images attached to records within PastPerfect, so that you have the ability to see more information when you zoom in on an image and to watermark your images.

Color: Although it increases the size, it is best if all photographs are scanned in color. Scanning images in black and white or grayscale will not capture all of the detail that you might desire, since even "black and white" images are not truly black and white.
