New features available in PastPerfect 3.5C1 include:

* Ability to include "Notes" and "Inmemory" fields to the Donations- Money Report

New features available in PastPerfect 4.0C7 include:

* New Authority files for Contact Custom Fields 1-3, Library Series, and People Biography Role field

4. Look Who's Using PastPerfect: The Amelia Island Museum of History in Fernandina Beach, Florida

The Amelia Island Museum of History in Fernandina Beach, Florida, celebrates the 4,000 year history and culture of Nassau County, located in northeast Florida. Housed in the historic Nassau County Jail building, the museum offers local walking tours, historical exhibits, elderhostel programs, and lecture series to promote the community's history under eight flags of occupation.

The Amelia Island Museum of History has joined the Veterans History Project, an oral history archive containing first hand accounts of veteran and civilian experiences from World War I to the Persian Gulf War. Each of the oral histories contributed by the veterans of Nassau County will be transcribed and added to the museum's PastPerfect program. Audio clips of the oral histories are being planned to be included in the museum's PastPerfect-Online site.

5. Tech Tip: Creating lists using Lists and Labels.

PastPerfect's contact management section allows users to create up to 80 User Defined Lists. These lists can then be used for mailings, reports, and more! In the following example, we will create a list of all members who live in our state.

To Create a User Defined List:

  1. Open PastPerfect and click on "Lists & Labels"
  2. Click on a blank list on the left side to select it, then click "Create or Modify User Defined List."
  3. In the empty List Name field, type "Members in our state"
  4. In the "Enter Filter Statement for adding records" type the following:
    memno>0 and state="PA"
  5. Then click on "Add matching records to list now"


If you want to look at another state, click "clear list" then change the state.

Here are a few more simple commands and their meanings:

State="PA" -selects all contacts who have PA in their primary address.
Memno>0 -selects all people who have a membership number, both current and expired.
Nextdue>ctod("09/30/2006") -selects all contacts who expire after September 30, 2006.
Billmember=1 -selects contacts who are the "Bill To" member in a family membership.

Here is how we can put them all together if I wanted to create a list of all of the Pennsylvania residents whose membership expires after September 30, 2006:
State="PA" and Nextdue>ctod("09/30/2006") and Billmember=1

If I want all of the contacts that live in one of two states, it would be:
State="PA" or State="MD"

If I want only the members in PA and MD:
Memno>0 and (State="PA" or State="MD")

Here is a similar command, but this time I want all of the memberships (all states) who expired in September:
Nextdue>ctod("08/31/2006") and Nextdue<ctod("10/1/2006") and Billmember=1

Lists are powerful tools to isolate sections of your contacts database. A complete explanation of the Lists and Labels features can be found on page 277 of the Version 4.0 User Guide.
