3. Tip of the Month- Making Records More Searchable

One of the benefits of putting your collections in PastPerfect version 3.0 and higher is having great research abilities. The People/Classes/Subjects/Search Terms tab on each of your collection records is designed to organize the terms you can use when searching. These fields are linked to the search functions on the Research tab, so to make full use of these functions, you will need to enter your data in these fields.

The People field is designed to keep track of people associated with your item, such as the person who appears in a photograph or is mentioned in a document. Names should be entered Lastname, Firstname Middlename. The Classification field is designed to allow you to classify the subject or nature of your item, listed from general to specific. The Subjects field allows you to list the subjects of an item, such as the subject matter of a painting, or the objects appearing in a photograph. The Search Terms field is the most general. This is where you can put all the terms you think may be helpful to someone searching for the item.

Entries in each field should be separated by a “/” and are all controlled by authority files. Easy searching comes from thinking ahead when you enter your data and keeping your terms consistent!

*The Wharton Esherick Museum*

The Wharton Esherick Museum is located in Valley Forge, PA and serves to “preserve, maintain, and present” the studio/residence of early American Craftsman artist Wharton Esherick. Born in 1887, Wharton Esherick originally studied painting as his career, but gradually discovered a love and talent for wood sculpture. Recognized as the “Dean of American Craftsmen,” Wharton Esherick is most widely known for his sculptural wood furnishings, many of which can be seen in other museums such as, the Philadelphia Museum of Art, The Pennsylvania Academy of Fine Arts, the Whitney Museum, the American Craft Museum, the Metropolitan Museum of Art, and the Smithsonian.

The Wharton Esherick Museum currently cares for and exhibits his studio/residence along with over 200 of his works, and uses PastPerfect to catalog his “paintings, woodcuts, ceramics, sculpture, furniture, and furnishings” and keep track of their membership data.
