Tip of the Month

Did you know you can speed data entry and be more precise at the same time? PastPerfect has several built-in time savers.

Authority Files: By going to the Setup Tab at the Main Menu and selecting the Authority Files button, you can select any number of fields for which you can create a list. This list will be available in your catalog, and you can select from the list instead of typing information. For example, you can select Home/Temporary Location and add commonly used storage locations at your museum to the Authority File List. Then when adding an item to the Objects, Archives, Photos or Library catalogs, place your cursor in the Home Location (or Temporary Location) field, and right click with your mouse (or click Function Key F7), and the list you created will appear in Setup. Now you can select the location from the list instead of typing it. Just double click.

Function Keys: Do you have information that you type over and over again? You can customize the function keys to input that information with the press of a button. In the Setup tab at the Main Menu, click on the Function Keys button. Enter the information into one of the available function keys. Then click Exit. Back in any of your catalogs, put your cursor in the field (make sure your text is in add/edit mode. It should be green, not black), and hit the function key.

Please contact us if you have any questions about these time savers. Our toll-free number is 800/562-6080.
